QR Code Setup

1. Start by clicking Settings followed by QR Code Settings in the top navigation:

2. On the QR Code Settings page, you will need to enable the feature by clicking "Enable QR Code Login."

3. Once enabled, you'll be able to decide what will happen, whether on our website or mobile app when an employee scans their QR Code:

Printing QR Codes

Once you've gotten the QR Code feature enabled, you'll then need to print QR Codes for each employee. 

1. Start by clicking the "View and Print Employee QR Codes" link found on the QR Code Settings page:

2. If you'd like to quickly print all employee QR Codes at once, right-click the Employee QR Codes page and select the "Print" option as shown below:

3. If you'd prefer to print employee QR Codes individually, you can do this by right-clicking the employee's QR Code and saving it. Once saved to your computer, you can print it out:

Setting Up Kiosk & Punching Time

One of the important aspects of a contactless punch option is eliminating the need for a user to touch the device being used for time tracking. In this section, we'll cover how to set up your device to ensure the screen remains on and available for employees to quickly scan their QR Code without having to touch the device itself.

Computer/Laptop
Tablet/Smartphone (Android)

Computer/Laptop

If you're planning on using a computer or laptop, the setup process is fairly straightforward.

1. First, you'll want to open the Buddy Punch login page on the computer: https://app.buddypunch.com/

2. Once on the login page, select the QR Code option as shown below:

3. You'll then be taken to the QR Code scanning page. An employee would hold their QR Code up to the screen and after it's scanned they'll automatically be punched in or out. 

4. Once an employee is done scanning their QR Code, the feature will be ready for the next employee to do the same.

Tablet/Smartphone (Android)

When using an Android tablet/smartphone, you'll need to use the device's web browser for a completely contactless option. When using our mobile app, a user needs to select the QR Code option each time they want to punch, so the devices web browser will need to be used.

You'll first need to set up your tablet/smartphone so that it doesn't go to sleep and allows the QR Code reader to remain open.

1. Start by going to Settings on your Android device.
2. You'll then want to go to Display --> Sleep and change the option to Never.
3. If you do not have this option, you can enable the Stay Awake option, which allows your tablet to stay awake while charging. To enable this option, you'll need to have access to developer options:

  • Visit Settings and click "About device" or "About phone"
  • Click Software Information
  • Click Build number until you've unlocked developer options (You should see a confirmation message that this process was completed)
  • Go back to the Settings page, you should now see a section for Developer options, click it.
  • On the Developer options page, enable the "Stay awake" option. As mentioned, this will keep your devices screen on indefinitely as long as it's charging.

4. Now that you've got your tablet/smartphone setup to remain on throughout the day, you'll need to open the login page: https://app.buddypunch.com/ 

5. Once on the login page, select the QR Code option as shown below:

6. You'll then be taken to the QR Code scanning page. An employee would hold their QR Code up to the screen and after it's scanned they'll automatically be punched in or out. 

7. Once an employee is done scanning their QR Code, the feature will be ready for the next employee to do the same.

Tablet/Smartphone (iOS)

When using an iOS tablet/smartphone, you'll need to use the device's web browser for a completely contactless option. When using our mobile app, a user needs to select the QR Code option each time they want to punch, so the devices web browser will need to be used.

You'll first need to set up your tablet/smartphone so that it doesn't go to sleep and allows the QR Code reader to remain open.

2. Once in your settings, click Display & Brightness. You will want to change the Auto-Lock setting to Never:

3. Next, go to General followed by Software Update. Change Automatic Updates to Off. This step is optional:

4. Now that your tablet/smartphone will no longer go into sleep mode, it's time to set up the QR Code reader. You'll want to open Safari, or any other browser, and go to the Buddy Punch login page here: https://app.buddypunch.com/

5. Once on the login page, select the QR Code option as shown below:

6. You'll then be taken to the QR Code scanning page. An employee would hold their QR Code up to the screen and after it's scanned they'll automatically be punched in or out.

FAQ:

Q: Why are my employees being asked to select a punch button?

A: If your employees are being asked to click a punch button after scanning their QR Code, there are two reasons this is occurring. The first is that scheduling is enabled and an employee is being asked to select a shift. If you'd like to disable the scheduling option, you can do so by going to Settings --> Billing and select "Change Plan." Our support team can also assist in getting the feature disabled.

The second may be due to having Locations, Departments or Positions assigned. If an employee has more than one job code assigned, they are required to make a selection when punching in. We recommend temporarily deactivating Locations, Departments, or Positions so that no selection needs to be made when punching time.

Q: If I have to disable scheduling to use the contactless QR Code option, can I enable it later?
A: Yes, if you need to disable scheduling to take advantage of our contactless QR Code option, it can always be re-enabled down the road.
