Groups: What are they and how do they work?

Step-by-step instructions on how to set up and use Groups as an Administrator from the Buddy Punch website.

Overview: Group employees together and assign them to the same job codes or Geofences.

How to Create a Group

1. To set up a Group, start by clicking Settings in the top navigation, followed by Groups:

2. From the Groups page, click the +Add a New Group button:

3. You'll then need to add a name for the Group and click Save:

4. After you Save, you'll be taken back to the Groups page, where you'll find your newly created Group:

Important! On the Starter plan, you can have one Group, a maximum of three on the Pro plan, and there is no limit to the number of Groups you can have on the Enterprise plan.


How to Assign Employees to a Group

1. Once a Group is created, you can assign employees to it by first clicking Settings in the top navigation, then Groups:

2. On the Groups page, click the View button next to the Group you would like to assign employees to:

3. Click Edit Assignment in the Employees section:

4. From there, you'll see a checklist where you can click the box next to an employee's name to assign them to the Group, or check the box next to All to assign every employee on your account to the Group. Click Save once done:


How to Assign a Group to a Location, Department, or Position Code

If you have already created a Group and want to assign all of the employees in a Group to the same Location, Department, or Position Code, this can be done in a few easy steps.

Note: Positions are only available when using Scheduling, which is included in the Pro and Enterprise plans, or available as an Add-On for the Starter plan. You can learn more about what's included in the Scheduling feature here.

1. Start by clicking Settings in the top navigation, followed by Groups:

2. From the Groups page, click the View button next to the Group you would like to assign to a code:

3. Click Edit Assignment in the section for the code that you want to assign the Group to:

4. Click the box next to the code(s) that you would like to assign this Group to, or check the box for All to assign the employees to all of the codes of that type, and click Save once done:

5. After that, you can keep assigning the Group to different codes, or click View All Groups in the top left to be taken back to the Groups Settings page:


How to Assign a Group to a Geofence

If you have already created a Group you can assign all of the employees in a Group to the same Geofence using the steps below.

2. From the Groups page, click the View button next to the Group you would like to assign to a Geofence:

3. Click Geofences on the left or scroll down to that section, then click on Edit Assignment in the Geofences section:

4. Click the box next to the Geofence(s) that you would like to assign this Group to, or check the box for All to assign the employees to all of the Geofences, and click Save once done:

5. After that, you can keep editing the Group, or click View All Groups in the top left to be taken back to the Groups Settings page:


FAQs

Q: Why can't I create more Groups?

A: The number of Groups you can create is based on the plan your account is on. For Starter, you can create 1 Group, 3 on Pro, and as many as you may need on Enterprise.
