Overview: Administrators can use Zapier to automatically create new Buddy Punch employees whenever new rows are added to a Google Sheet. This integration saves time by eliminating the need to manually add employees in Buddy Punch.

Instructions:


Google Sheet Setup

1. To start, you will need to create a Google Sheet with the following columns:

  • Username

  • First Name

  • Last Name

  • E-Mail Address

  • Is Active (True or False)

  • Employee ID

2. Then you will want to name your Google Sheet to make it easy to identify when setting up Zapier:


Connecting to Zapier

1. Once you've set up your Google sheet, you will next want to connect Zapier by navigating to Settings --> Integrations within your Buddy Punch account:

2. Search for Zapier and then click Integrate with Zapier:

3. Find the Zapier Template called Create Buddy Punch employees from new Google Sheets rows and click the Use this Workflow button to the right of it:

4. If you don't already have a Zapier account, you can sign up for a free one by clicking Sign up with Google or by signing up with your email, first name, and last name.

If you already have a Zapier account and aren't already logged in, click Log In instead:

5. And proceed to the next section, further detailing how to set up the zap.


Setting up the Buddy Punch & Google Sheets Zap

1. Once you connect to Zapier, its Copilot feature should automatically start filling out details for you:

2. After it's done, you'll have to refine the details — starting with Google Sheets, under the Configure step, you'll need to choose the spreadsheet you created earlier, the worksheet, and specify a trigger column.

Click Continue once done:

3. To test the Google Sheets trigger, enter test data into your spreadsheet:

Important! When marking whether an employee is active or not, you need to use True and False values.

4. After you've entered the test data into the Google Sheet, click Test trigger:

5. If the test worked as expected, your test data from the spreadsheet will have been pulled in as a record, and you'll be given the option to Continue with selected record:

6. You'll be taken to the second step of the zap, where you'll need to connect your Buddy Punch account. Click Sign in to start this process:

7. A pop-up box will appear where you will want to enter your Buddy Punch Administrator login username and password and then click Login:

8. If you're logged in, you'll be taken back to the Zap where you'll see your Buddy Punch account connected with the option to Continue:

9. You will need to configure the Create Employee step by mapping the username, first name, last name, email address, and employee ID columns.

For the Active field, this option will need to be changed from Static to Custom:

10. Once switched over to Static, you can then map the active column from your spreadsheet:

Important! When adding employees using this method, the Welcome Email will be sent out whether the employee is marked as active or inactive.

11. Once the fields for creating an employee are mapped, click Continue:

12. And then, when ready, click Test step:

13. Double-check your Buddy Punch Employee page to ensure that the test employee was created in your account:

14. If the employee was created in your Buddy Punch account, you can then Publish your Zap:

15. Once the Zap is published, any future employee information added to your spreadsheet should automatically be created in your Buddy Punch account.

Q: Can I stop the Welcome Email from sending when adding a new employee?

A: No, there currently isn't an option to stop the Welcome Email from sending when adding a new employee. You can temporarily use a different email, such as your own, to redirect the Welcome Email. You can then update the employee's email once they're added in Buddy Punch.
