How to View the Time Off Summary—Manager (Web/App)

Step-by-step instructions covering how to view the time off summary for employees as a Manager from the Buddy Punch website and app.

Overview: Managers can view the Time Off Summary for an assigned employee from within their profile on the Buddy Punch website and app. The Time Off Summary provides a detailed history of time off used, accrued, and manual adjustments.

Instructions:


View the Time Off Summary (Web)

1. To view the detailed Time Off Summary for a specific employee, start by clicking Employees in the top navigation:

2. Then click View next to the name of the employee whose time off summary you'd like to review:

3. Once in their profile, click Time Off from the left-hand menu:

4. This will bring you to the Time Off section, where you can click View next to a specific time off type to review its history:

5. The Time Off History page will provide a comprehensive breakdown of the employees' used or accrued time off.

If you need to export, you'll find CSV, Excel, PDF, and Print options in the top right-hand corner of the page:


View the Time Off Summary (App)

1. Once logged into the Buddy Punch app, click Time Off in the bottom navigation. (Left image below)

2. This will bring you to the Time Off List page, where you can use the employee dropdown to filter down by the employee you want to view. (Middle image below)

3. After you've chosen an employee, click Select. (Right image below)

4. This will bring you to the employee's specific Time Off List page, where you can select View Time Off Summary. (Left image below)

5. On the Time Off Summary page, you can view the different time off balances available for the employee. (Middle image below)

6. By clicking a specific time off balance, you can view its history in more detail. (Right image below)


Understanding Your Time Off Balance Columns

When viewing time off, you'll see two balance columns:

Balance: How much time off the employee has available right now. This includes any approved time off scheduled through the end of the current pay period.

Balance with Future Time Off: Everything the Balance column includes, plus any approved time off scheduled beyond the current pay period.

Example: An employee has 8 hours available and an approved 4-hour request for a date in the next pay period. Their Balance shows 8, and their Balance with Future Time Off shows 4. Once that next pay period begins, both columns will show 4.

Note: These columns update when your pay period ends, which occurs at a set time of day rather than at midnight. If you check balances near the end of the last day of a pay period, you may see the columns update later that day. This is expected behavior.
