How to Add, Edit, or Delete Repeating Shifts—Administrator (Web)

Step-by-step instructions covering how to add, edit, or delete repeating shifts as an Administrator from the Buddy Punch website.

Overview: When adding shifts from the Buddy Punch website, Administrators can set shifts to repeat on a daily, weekly, monthly, or yearly basis, making it easy to manage recurring schedules for employees.

Instructions:


Add Repeating Shifts

1. To add repeating shifts, start by navigating to the Schedule page:

2. Once there, click an open space next to the name of the employee you want to create a repeating shift for and where you want the repeating shift to start:

3. A shift creation box will populate where you can enter details such as:

  • Shift start time

  • Shift end time

  • Unpaid break duration

  • Shift color

  • Job codes

  • And a note

You'll also find the Repeats option:

4. The Repeat options available are:

  • Weekly

  • Monthly

  • Annually

  • Every Weekday

  • Custom

After entering the Repeat details, you'll also need to specify when the repeat Ends On:

5. Click Add Shift once done.

6. You'll be taken back to the schedule where you can see your newly added repeating shift in the draft status:

7. If you click the shift, you can review the repeating shift information:


Edit Repeating Shifts

1. To edit repeating shifts, start by navigating to the Schedule page:

2. Once there, click the repeating shift you want to edit:

3. You can edit details, including:

  • Who the shift is assigned to

  • Shift start time

  • Shift end date

  • Shift end time

  • Break time

  • Shift color

  • Job codes

  • And the note

After making the necessary changes, click Save:

Important! You cannot change the Ends on date of the repeating shift. If the Ends On date needs to be changed, the repeating shifts will need to be recreated.

4. You will be presented with two editing options, which include:

  • This shift (Only updates the current and open shift)

  • This and following shifts (Updates the current and open shift, along with any other repeating shifts in the series)

Make your selection and click Save when done:

5. You'll be taken back to the schedule page, where your repeating shifts with changes will be in draft:


Delete Repeating Shifts

1. To delete repeating shifts, start by navigating to the Schedule page:

2. Once there, click the repeating shift you want to delete:

3. You'll find the Delete option at the bottom of the shift creation box:

4. Once clicked, you'll be presented with two delete options, which include:

  • This shift (Only deletes the current and open shift)

  • This and following shifts (Deletes the current and open shift, along with any other repeating shifts in the series)

Make your selection and click Delete when done:

5. You'll be taken back to the schedule page, where the repeating shift(s) you chose to delete will be removed:

FAQs

Q: Can I apply a repeating shift to more than one employee?

A: Yes, when you initially create a repeating shift, you'll be able to select which employees it should be assigned to from the dropdown menu. Please know, you can't assign additional employees to an existing shift. Only during the initial creation of a shift can multiple employees be assigned.
